The short answer
Setting up multi factor authentication means adding a second sign in check to Microsoft 365, Google Workspace, banking and other important logins. For Adelaide businesses, WaTo Consulting rolls it out in small groups, usually with an authenticator app, plans recovery for lost phones before enforcing it, and switches off older sign in methods that skip the check.
What does multi-factor authentication setup involve?
We switch on a second sign-in check for Microsoft 365, Google Workspace and the other accounts that matter, starting with email, admin and finance logins. Each staff member is set up with a method that suits them, usually an authenticator app, and the business keeps a safe way to get people back in when a phone is lost or replaced. Older sign-in methods that skip the second check get turned off so the protection actually holds.

Staff guidance
Explain what changes and how staff get help when prompted.
Who it is for
- A business that has had an email account taken over, or a near miss with a convincing phishing email.
- A practice with shared reception logins that needs a sensible way to add a second factor.
- A business whose cyber insurance renewal asks whether MFA is enabled for all staff.
- Teams who turned MFA on once and switched it off again because it kept getting in the way.
How it works
- We list the accounts worth protecting. Email, cloud admin, banking, payroll and any system that holds client data go to the top.
- We pick methods staff will use. Most people get an authenticator app on their phone, with security keys or other options for anyone who cannot use one.
- We roll it out in small groups. Staff enrol with us on hand to help, and recovery options are sorted before the requirement is enforced.
- We close the back doors. Older sign-in methods that skip MFA are disabled and admin accounts get the strictest settings.
Why WaTo for multi-factor authentication setup
- Lost phones, new phones and staff on leave are planned for before enforcement, so a lost phone is a quick fix and not a lockout.
- Rollouts are paced around your team, with someone available while each person enrols.
- We also cover the accounts outside Microsoft 365 and Google Workspace, like banking, domain and accounting logins, where MFA often gets forgotten.
- Staff stuck at a sign-in prompt can call a real person in Adelaide and get back in.
Multi-factor authentication setup questions
What happens if a staff member loses their phone?
They contact us or your nominated admin, we confirm who they are, then reset their sign-in methods. They can usually set up MFA again on the new phone in a few minutes. Having this process agreed before rollout is what keeps it from becoming an access crisis.
Do staff have to use their personal phone for MFA?
No. Many staff are happy to use an authenticator app on their own phone, but anyone who is not can use a hardware security key or a business phone instead. We work out the right option for each person during rollout.
Will staff get asked for a code every time they log in?
Usually not. Most setups remember a trusted device for a period and ask again when something changes, such as a new computer or an unusual location. That keeps the protection strong without constant prompts on the office PC.
